Job/Person Summary
Senior Admin Officer at Pennington C of E Junior School
We are looking for a calm, well-organised and caring Senior Admin Officer to join our busy and welcoming school team. This is a key role that requires an efficient and flexible approach together with a sense of humour!
The successful candidate will take a lead role within our office team, be able to multitask, manage working with interruptions and prioritise their own workload. They will promote the delivery of efficient and effective administrative systems and procedures.
Key responsibilities will include:
- Experience of HCC’s operating systems and administration processes and be proficient with all aspects of IT, particularly those to support efficient and effective working of a school budget and pay management
- Manage the School and Resourced Provision budgets and spending including budget monitoring reports and attendance at governors meetings presenting clear and informative reports to governors
- Financial processing on SAP / IBC system to include; raising purchase orders, processing invoices and related stock level management
- HR recruitment of staff following safer recruitment processes, preparing contracts, processing of claims, absence and reconciliation on SAP / IBC system
- Health and Safety administration
- Communicating with parents and stakeholders, including emails, telephone calls and a range of visitors
- Produce original and complex correspondence
- Promoting/marketing of the school through IT systems, social media, publications
- Full and effective member of the Senior Leadership team
- Implementing performance management for the admin team
- Data Protection Officer
The ideal candidate will:
- Be committed to the safeguarding of children and colleagues
- Have experience of working in a school administration and finance environment
- Be competent in the use of SAP / IBC systems for purchasing / financial / HR related input
- Have a sound knowledge and experience of a range of computer systems, including Tucasi, CPOMS, Word, Excel and SIMs
- Work professionally, maintaining confidentiality at all times - adhering to the GDPR regulations
- Have excellent general administrative and organisational skills
- Have the ability to prioritise and work independently as well as leading a team
- Have good knowledge of health and safety regulations and procedures including induction of new staff
- Take a "can do" approach and have a positive disposition
- Have a caring nature with the ability to stay calm under pressure
- Relate well to children, staff, parents, governors and all members of the school community
